Our Omaha, Nebraska office is seeking a qualified individual to support a variety of diverse projects as an Administrative Assistant.

The Administrative Assistant provides support to team members, assists in daily office needs, and performs general administrative duties. Specific competencies for the position are as follows:
• 2+ years of administrative experience, preferably in an engineering, architecture, or construction environment.
• Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with project management or document control software is a plus (e.g., Adobe Acrobat, Bluebeam, Deltek, Procore)
• Provide comprehensive clerical support to ensure efficient office operations, including filing, data entry, document preparation, and scheduling for engineers, project managers, and senior staff
• Prepare, format, and edit reports, correspondence and project documentation
• Organize and maintain electronic and paper filing for active and archived projects, basic understanding of document management a must
• Organize, control, track and maintain documents (both digital and physical) essential to projects, including plans, permits, reports and regulatory documents.
• Ensure accurate version control and distribution of drawings, submittals and technical documents between internal teams, clients, and regulatory agencies
• Assist with project tracking and internal project management tools, including managing meetings and project schedules
• Assist in preparation of proposals, specifications, contracts, and review submittals
• Must have strong reading comprehension skills and ability to review, understand, and process technical documents, instructions, and written communications accurately, identifying inconsistencies or missing elements.
• Serve as backup to Office Services Coordinator, including answering and routing incoming calls, receiving and directing clients, and processing incoming/outgoing mail and express deliveries.
• Strong organizational skills with attention to detail and accuracy.
• Ability to work independently and proactively, as well as part of a team.
• Ability to work with different personalities and professional styles.
• Excellent verbal and written communication skills.
• Strong proofreading skills.
• Ability to thrive in a fast-paced environment while managing multiple deadlines.
• Self-starter, with strong time management skills.
• Comfortable with learning new software and office systems
• Coordinate with Project Administrators and assist with project specific duties as assigned
